Maintain an approved material record
Keep the selected product code, supplied form, technical revision and qualification record together. Identify any negotiated packaging or analytical requirement. The family description nonionic polyacrylamide is too broad to preserve a specific commercial selection.
Record the sample and production lots used during qualification. If an earlier order was accepted under an exception, retain that decision separately so the exception does not silently become the baseline for every future shipment.
Review change before confirming the purchase
Ask whether the proposed code, specification, preparation instructions or supply arrangement has changed. A familiar trade name does not establish that every relevant detail remains the same. Specify which changes need technical review or another sample.
Use replacement qualification if an alternative is proposed. Do not approve a new grade solely because the supplier calls it equivalent or quotes the same molecular-weight range.
Check that the process has not drifted
Review meaningful changes in feed source, reused water, upstream reagents or equipment since the original approval. The material may be unchanged while the plant requirement has moved. Keep a process change distinct from a supply-quality issue.
Consult make-down water controls if the preparation source changes. Where the qualification no longer represents normal operation, define a bounded review instead of assuming the original result remains sufficient.
Receive each lot deliberately
Match labels, quantity and batch documents against the current order. Follow the agreed receipt checks and preserve traceability after opening. Compare performance under controlled conditions if a discrepancy appears.
Keep consumption trends tied to feed and equipment observations rather than treating every increase as a product defect. Use the record to decide whether to continue the order pattern, investigate preparation or request another candidate.
Decision record for the quotation
| Decision | Evidence needed |
|---|---|
| Baseline | Approved code, document revisions and exceptions remain distinguishable. |
| Change gate | Material or preparation changes trigger a defined technical review. |
| Receipt | Each shipment is checked against the current order and retains lot identity. |
